EMR decisions giving you a Heart Attack?

Too often, many practices jump full throttle into an EMR and soon realize that things are not as glamorous as promised. A New EMR does not also mean a New Practice Management Billing system. Before you select one of the many EMR packages, keep in mind that Omni has an interface for all EMR systems that use the National Health Care Language Version 7 Standard.  HL7. We work hand-in-hand so your office does not have to double enter any information. All your patients added in Omni are automatically entered into the EMR with our interface bridge. Appointments are also auto-updated simultaneously on both systems.

The patient's visit can be recorded by the Doctor using his tablet. Once the visit is finished the Diagnosis and Procedure codes are transferred to the Omni billing system where the charges are proofed then posted for electronic claim submission.

Many offices that have switched to a new Billing system and a new EMR simultaneously have encountered many problems along the way. Some offices have even abandoned their new systems and returned to their Omni system to quickly re-coup lost revenue and immediately resume a steady flow of payments.

Many EMR systems offer their own billing module as an "addition" to their EMR package. Often times these companies will market the billing module as a free component to entice consumers into believing that they are getting something for next to nothing.

Hidden Costs of Cloud Based Applications   Many major EMR companies market a slimmed down version that is Web or Cloud based. SaaS (Software as a Service) is the newest marketing tool out there. But there are  downsides to a Web-based application that you hardly ever hear mentioned but are quickly realized once a practice goes full throttle with their new Web-Based system..

1. Stable Communication -  It is great to presume that your internet connection will always be up, but it simply wont be. If the internet is down, so is 100% of your application. An outage of any amount of time will leave your office helpless until internet is restored. Omni is physically in your office and does not require internet connectivity to run.

2. Communication Performance - Even though it is 2012,  high speed business internet performance is not as good as most home networks, especially when dozens of users locally and thousands nationwide are trying to connect and use particular software.  Bandwidth, local area usage of the internet in general, internet providers, cloud providers, internet connection rates, etc... are all potential issues. After an office realizes they need more bandwidth they have already made a long-term commitment. The next step up from most business class high speed internet connections is a T1 line. Very costly with long term contracts. Anywhere from $350~ $1200 a month for internet connection. The longer the contract the cheaper the price. Just another "hidden" Cloud Based Fact.


3. Application performance - SaaS is easily accessable via any internet connection, but to use it heavily on mission critical software is a no go. Not only do you have issues with communication stability and performance, you also have issues with the actual software performance itself. Most EMR systems are document management oriented. Uploading scanned paper is very slow. So slow that some cloud based EMR suggest the offices to upload batches of scanned documents after normal business hours. The users then have to assign the documents the following day.

With Omni you can immediately scan all your paper into a patient's file with just a few clicks. The image acquisition is embedded in the software allowing the scanned document to be immediately available to all Omni users. The more documents you can store in your Omni Medical billing system the less time you will spend scanning to a Cloud based EMR.


4. Just where is my content / data? -  Many organizations (by law) have to know exactly where their content is stored. This doesn't mean "its in the cloud" rather you need to know its exact location and how has access to the physical hardware it sits on. In the cloud, this just isn't a possible. Many Data centers have multiple systems spread out across many networks.

5. Reliance on more than a single provider - some cloud providers utilize other cloud providers. This means that your applications, etc. become reliant on not just one set of "cloud based variables", but many.


6. Locked in - locked in to a certain cloud provider, or more importantly, into the way in which they deliver cloud computing? Once you have signed the contract and want to get out, you will have to pay costly penalties and additional fees. This "Divorce" will cost you whatever they charge if you have not signed a Divorce contract. You are at the mercy of the EMR company when it comes to getting a copy of your patients data to try to salvage. Anytime an office's computer software systems are changed, the transition can be daunting. The importing of Patient information from one system to the other can often be impossible without thousands of conversion fees.


7. Costs - Believe it or not, cloud computing for certain tasks will be more expensive than sticking to using your own in-house environment. Always always look at the actual operational cost as a whole to your organization and not just a comparison like for like on a particular piece of software (or SaaS variant).

 

Interrupted Cash Flow can put any office into trouble with finances if only for a short while. Anywhere from 4 to 6 weeks is a normal lapse for most offices that have went from one billing system to an EMR with the billing included. In some instances months have passed with little or no revenue. This transition period can be devastating to normal operating procedures of most medical offices.

Data Migration Some EMR companies will try to convert a practices current data into their own software (sometimes for an additional cost) if possible. Only basic information such as names and addresses are generally all that can be salvaged. No Insurance, no prior Balances/Charges or any Insurance information are included. The majority of attempts to convert the information often fail, this normally occurs after the new system has been installed. Forcing the office to manually re-enter patient data.

Stressed Out Staff  :( This only puts more stress on staff that are already trying to cope with a new system. Running multiple systems at one time to cope with the daily demands of patient care can be demanding on the most patient of your staff members.

This is the Federal Healthcare Language format Ver. 7. This allows your EMR to communicate with the Omni Billing Software behind the scenes. Changes to patients in Omni are sent to your EMR for updating, Appointments, Address updates, Phone number changes, all flow from Omni to your EMR. Charges, Diagnosis and Procedure codes are transmitted into the Omni system from the EMR for quick proofing and fast transmission of claims.

Omni's Patient Monitor  notifies the user that their are pending charges. The insurance clerk can choose to immediately proof the charges and make any final modifications to the transactions. The insurance claim(s) can then be transmitted for same day processing -- Omni's simple reports are generated with daily transaction totals and deposit sheets.
